NCEdCloud Claim My Account Guide For Students And Staff

NCEdCloud requires new users to claim their account before logging in for the first time. Claiming verifies your identity and lets you set your own password and security challenge questions. New employees, and optionally students in grades 6-12, complete this one-time process at my.ncedcloud.org using their State UID (Username) and date of birth.

Students in grades PK-5 do not claim an account at all; their districts typically use badge login or teacher-assisted sign-in instead, covered further down this page. Once claimed, your account gives you single sign-on access to every application your school or district has assigned to you.

What Does Claiming an Account Mean?

Claiming is the one-time identity verification step that activates a new NCEdCloud account. Every new user has a pre-provisioned account created by the nightly sync from PowerSchool or Home Base. That account exists in the system but stays locked until you claim it.

During claiming, you confirm your identity using your State UID and date of birth, then create a password and set up security challenge questions. After that, your account is active, and you log in at my.ncedcloud.org normally going forward. You only claim once if you’ve logged in successfully before; your account is already claimed. What You Need Before You Start

Before claiming your account, make sure you have:

  • Your NCEdCloud Username (your State UID number), provided by your school or district
  • Your date of birth
  • A device with internet access and a modern browser (Chrome recommended)
  • About 5 minutes of uninterrupted time

Students in grades 6-12 typically receive their Username from their homeroom teacher or school registrar at the start of the year. Staff receive theirs from the LEA Administrator or district HR office. If you don’t have your Username, contact your school’s help desk before starting.

How to Claim a Student Account (Grades 6-12)

  1. Open a browser and go to my.ncedcloud.org.
  2. Click Claim My Account below the Sign In button.
  3. On the Claim Policy screen, select Student Claim Policy from the dropdown, then click Next.
  4. Enter your Username (State UID number) and date of birth in MM/DD/YYYY format.
  5. Click Next. The system verifies your identity against district roster data.
  6. Set your new password and confirm it, then set up your security challenge questions.
  7. Click Finish. Your account is now active. Return to the login page and sign in with your new password.

After claiming, your Applications dashboard loads, showing every app assigned to your account by your school or district.

How to Claim a Staff Account?

Staff claiming follows the same overall process, with one difference: staff accounts are provisioned through Home Base rather than PowerSchool, so the roster sync timing may differ from students.

  1. Go to my.ncedcloud.org.
  2. Click Claim My Account.
  3. On the Claim Policy screen, the default is Employee Claim Policy — confirm this is selected, then click Next.
  4. Enter your Username (typically your employee ID as recorded in Home Base) and date of birth.
  5. Click Next, then complete password creation and challenge question setup.
  6. Click Finish and log in.

Staff accounts are typically available to claim 24-48 hours after being entered in Home Base, since the nightly sync must run first. If your account isn’t found, wait one business day and try again, or contact your LEA Administrator.

PK-5 Login — No Claiming Required

Students in grades PK-5 cannot claim their own accounts through the standard process described above. Instead, most districts use one of two approaches: a printed QR badge that a teacher or aide scans at the login screen, or a teacher providing the student’s Username and a district-set password directly through the teacher’s “My Students” view. Either way, no individual claiming step is required. If a PK-5 student needs to log in from home without a badge, contact the school for their Username and password.

Common Claiming Errors and Fixes

“Account Not Found Error.”

This means the system couldn’t match your Username and birthdate to a roster record. Check that you entered your Username exactly as provided, with no spaces or extra characters, and that your birthdate is in MM/DD/YYYY format. If both are correct, your account may not yet be synced — wait 24 hours and try again, or contact your school’s help desk.

“Account Already Claimed Message.”

Your account was claimed previously, either by you or by school staff on your behalf. Go to the login page and attempt a normal login. If you don’t know your password, use the Forgot Password link. See our Password Reset guide for full instructions.

“Password Does Not Meet Requirements.”

NCEdCloud enforces a password complexity policy that generally requires a mix of uppercase and lowercase letters and at least one number; some districts add further requirements. Check the exact criteria shown on your screen, since specific rules can vary slightly by district, and choose a new password that satisfies all of them.

“Challenge Questions Not Saving.”

This is usually a browser issue. Try clearing your browser cache or switching to a different browser. Chrome is the recommended browser for NCEdCloud. Avoid Internet Explorer or older versions of Edge.

“Claiming Link Not Visible.”

Some districts customize the login page, so the Claim My Account link may be labeled differently, such as First Time Login. Try navigating directly to my.ncedcloud.org or contact your school’s IT staff.

What to Do After Claiming?

  1. Log in at my.ncedcloud.org with your new password to confirm everything works.
  2. Review your Applications dashboard. All apps assigned to your account by your school should be visible as tiles.
  3. If an expected application is missing, contact your school’s help desk to request it.
