NCEdCloud Alias ID — What it is and How it is Used
What is an NCEdCloud Alias ID?
An NCEdCloud Alias ID is a secondary identifier that can be associated with a user’s account to allow login using a name or code that differs from the primary NCEdCloud username. NCDPI’s Identity Automation platform supports alias IDs to accommodate districts where students or staff are better identified by a different ID format, such as a district-assigned email prefix, a legacy SIS number, or a name-based identifier, than the default system-generated username.
This applies primarily to district administrators and IT staff who configure account settings. The most important thing to know is that an alias ID is an alternative login identifier, not a replacement for the primary account credentials.
Why Alias IDs Exist?
NCEdCloud generates usernames based on data from source systems — PowerSchool for students, Home Base for staff. The format that NCEdCloud produces may not match what users are accustomed to using in other systems.
For example, a district might issue students an email address formatted as firstname.lastname@students.district.k12.nc.us, but the NCEdCloud system might generate a numeric-based username from the student ID. An alias ID allows that email-format identifier to also work at the NCEdCloud login screen.
Alias IDs are also used when districts merge or when accounts are migrated from a legacy identity system. They allow continuity of login behavior while the underlying account structure is updated.
How Alias IDs Are Set?
LEA Administrators set alias IDs through the NCEdCloud admin console. Individual users cannot add or change their own alias ID. Steps to follow:
- LEA Administrator logs into NCEdCloud with admin credentials.
- Navigates to the user account in the admin console.
- Locates the Alias ID field in the account profile.
- Enter the alternate identifier to be associated with the account.
- Saves the change.
The alias ID becomes active immediately. The user can then log in using either the primary username or the alias ID.
Who Uses Alias IDs in Practice?
In most NC districts, the majority of users never need to think about alias IDs. The feature is most relevant in three scenarios:
- Districts that want students to use a recognizable email-format username instead of a numeric student ID at the login screen.
- Districts that are migrating from a previous identity management system need to support legacy login formats during the transition.
- Districts where a name change (due to a legal update or other reason) needs to be reflected in login behavior before the primary username is updated in the source system.
For everyday users, the alias ID means their login username might be formatted differently than they expected, based on what the system generated. If your IT department told you to use your school email address to log in, and it works, you are likely using an alias ID.

Common Questions From Help Desk Staff
When a user reports that their username is not working but a different version of their name or ID does work, the help desk should check whether an alias ID is configured on the account. If the alias ID is set to the value the user is trying, but the primary username is what the SSO applications expect, there can be application access mismatches.
The LEA Administrator should verify that the alias ID and primary username are consistent with what the connected applications expect to receive in the authentication assertion.
Frequently Asked Questions
Can I set my own NCEdCloud Alias ID?
No. LEA Administrators configure alias IDs in the admin console. Individual users cannot set or change their own alias ID. If you believe an alias ID would help your login workflow, speak with your district’s technology coordinator.
Will my alias ID work for all NCEdCloud applications?
In most configurations, yes. The alias ID works for logging into the NCEdCloud portal itself. Whether it is passed through to connected applications via SSO depends on how the LEA Administrator has configured the attribute mappings for each application. Contact your IT department if you can log into NCEdCloud but cannot access a specific app.
What happens to my alias ID if my primary username changes?
The two identifiers are stored separately. A change to the primary username does not automatically update the alias ID, and vice versa. If both need to change — for example, after a legal name update — the LEA Administrator should update both fields to maintain consistency.
Is an alias ID the same as a secondary account?
No. An alias ID is an alternate login name for the same single account. It does not create a second account or a second set of credentials. The user still has one password, one set of challenge questions, and one dashboard regardless of whether they log in with the primary username or the alias ID.
My district said to use my email to log in to NCEdCloud. Is that an alias ID?
It may be. If the email-format login works, your LEA Administrator has likely set your district email address as an alias ID on your account, or the system was configured to generate email-format usernames as the primary. Either way, use whichever login format your district instructs and contact IT if it stops working.
